Appointment Scheduling

CollaborateMD has designed one of the most robust resource-based appointment schedulers on the market. Unlike competing scheduler modules, our state-of-the-art model allows for users with permission to access several functions from within the scheduler program, thus optimizing front and back office workflow. By customizing your individual office schedules, you can easily manage appointments, add/edit new or existing patients, create claims, create/update patient records, verify eligibility, and reconcile appointment activities.

Phone Notification System

Reduce staff time and no-shows! Our phone notification system allows your office to automatically notify patients of upcoming appointments and/or other critical notifications. Choose what time of day and how soon prior to the appointment you want the system to place the call. Patients can verify or cancel the appointment by using the keypad on their phone. All results are automatically uploaded directly into the appointment scheduler for maximum convenience.

Patient Records

Inside CollaborateMD, patient data is organized into tabs on the same screen, so you can quickly add, find, or edit what you need without endlessly searching throughout the system or referencing separate software. Point-and-click navigation moves you easily through the patient's demographic information, insurance, financial history, appointments, uploaded documents, eligibility checks, claim and statement activity, and much more.

Real-Time Patient Eligibility

Verifications are now reduced to a simple electronic transmission, delivering instant verification of eligibility, coverage, benefits, and other pertinent patient information from payers. Eligibility is truly the first step to a clean claim.

Claim Scrubbing (real-time and batch)

With our claim scrubbing engine, you can review your claims for errors before having them submitted for payment. Our scrubbing engine includes CCI, LCD, NCD, HCPCS and carrier-specific edits, allowing you to minimize or eliminate denials and rejected claims resulting in accelerated cash flow and increased revenue.

ClaimTracking

ClaimTracking ensures 100% accountability and a 360 degree view of your claims lifecycle. CollaborateMD helps you to easily manage and track your claims. Filters and real-time editing allow users to quickly find and work with claims data to accelerate cash flow.

Claim Control

Claim Control allows users to easily capture charges from EMR programs, edit/scrub claims in batch mode, and change the status of multiple groups of claims at once. Once your edits have been made, the Claim Control panel is where you can reflag only those claims that need to be resent to the payer, saving you hours in sending claims one at a time.

Payment Posting

For your convenience, CollaborateMD offers three simple methods for posting insurance payments. Traditional line-item posting, batch EOB posting and ERA auto-apply. Based upon the insurance company and your preference, CollaborateMD makes this process simple and efficient.

Electronic Patient Statements

We'll send out your customizable patient and final demand notice (FDN) statements to help you minimize staff labor, reduce printing and mailing costs, and expedite payment from your patients. To keep your costs low, there is no additional charge for multi-page statements or USPS FASTforwarding. We’ll even include the return mailing envelope to help you get paid faster.

Batch Printing

To speed up the printing process, our batch printing feature allows you to batch and print claims (CMS-1500 or UB92/04 claims), superbills, patient statements, and FDNs at your convenience.

Comprehensive Reporting

CollaborateMD comes with over 75 standard and customizable reports giving you a 360 degree view of your daily, and on-going business and patient activities. Specify your selection criteria to return only the statistics you want, then run and view multiple reports at once, or export them for use in Microsoft Excel, Word, PowerPoint or HTML. With the valuable details our reports bring out, your staff can focus on reducing receivables while increasing cash flow.

Document Imaging & Storage

Easily manage and organize your files, and quickly attach any pertinent image to a single patient record, a claim, a payment, or an EOB. CollaborateMD lets you view scanned documents and images (such as insurance cards, lab results, reports) directly from the patient record—even if they were scanned at another location—streamlining your office for greater efficiency.

Internal Messaging

Our internal messaging system allows you to securely communicate with the CollaborateMD support and sales departments—as well as with your entire staff—in a secure, HIPAA-compliant environment. This tool is also great for inter-office communication between your front office, billing department and providers without worry of jeopardizing the privacy and security of a patient’s history or records.

User Management

Within our administration section, you can set user permissions, determine log-in hours, and reset passwords to better manage and track your users' activity.
